Privacy Policy
This Privacy Policy explains how we collect, use and protect your personal information when you visit foundkeys.co and submit a form through this website.
Who we are
FoundKeys is a trading name of FH Global LLP (LLP No. OC375730), registered in England and Wales. Our registered office is at Lavender Cottage, Church Lane, Bledington, Chipping Norton, England, OX7 6XB. If you have any questions about this Privacy Policy, please contact us at [email protected].
What information we collect
We collect the personal information you provide when you complete one of our online forms. This may include: first name, surname, company or organisation, job title, email address, telephone or mobile number, and postal address (where provided for sample delivery). After launch, keyring activation will require first name, surname, email address and mobile number. No postal address is required for activation.
How we use your information
We use your information to respond to your enquiry or sample request, process and manage order enquiries, administer our correspondence with you, and comply with our legal and regulatory obligations. After launch, we will also use activation data to operate the key retrieval service: when a finder reports a found key, we notify the registered owner and pass the finder's contact details to the registered owner so they can arrange return. The registered owner's contact details are never passed to the finder.
Lawful basis for processing
We process your personal information on the basis of our legitimate interests in responding to enquiries and managing our business relationships. For the key retrieval service, processing is necessary for the performance of the service contract with the registered owner. Where a different lawful basis is required, we will rely on that basis as appropriate.
How we share your information
We share your information with trusted service providers who help us operate this website and manage our communications, including email delivery and hosting providers. These processors are required to keep your information secure and use it only for the purposes we specify. We may also disclose information if required by law or regulatory authority. When a key is reported as found, we pass the finder's contact details to the registered owner — we do not pass the registered owner's details to the finder.
International transfers
Where your information is transferred outside the UK or European Economic Area, we ensure appropriate safeguards are in place, such as standard contractual clauses approved by the relevant supervisory authority.
How long we keep your information
We keep your personal information only for as long as necessary to respond to your enquiry, manage any resulting business relationship, operate the key retrieval service, and comply with legal or regulatory obligations. After this period, we will securely delete or anonymise your information.
Your rights
Under applicable data protection laws, you have the right to: access your personal information, request correction of inaccurate information, request erasure, restrict or object to processing, and request a portable copy of your data. You also have the right to object to processing based on legitimate interests. To exercise any of these rights, please contact us at [email protected].
Complaints
If you have a concern about how we handle your personal information, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
